University Receivables and Decentralized Receivable Systems
University Receivables
- General Receivables is the name given to a large section of the university's receivables and includes such areas as Continuing Education (CEC), Pharmacy, Catering, Virginia Tech Information Center (VTIC), Library Fines, etc.
- Short Term Loan Receivables consist of short-term loans to students granted by the Office of Scholarships and Financial Aid (OSFA).
- Petty Cash Receivables - There are two types of petty cash funds: one is a change fund petty cash account and the second, and most common, is the disbursement petty cash fund. The change fund petty cash is used in an office to make change in a cash drawer or box, must have a custodian and is held for an indefinite period of time. The disbursement petty cash fund is one that has a finite life and may be used for such events as paying subjects in a research project.
- Student Receivables includes tuition, fees, and room and board and other miscellaneous charges for student-related expenses assessed by various university departments.
- Travel Loans are receivables made to faculty and staff who plan to travel and need cash in addition to the corporate credit card. Some of these loans are for faculty who have study abroad programs in the summer.
Decentralized Receivable Systems
- Communication Network Services (CNS) Receivables is responsible for student telecommunications. CNS is one of the auxiliary systems that send their delinquent accounts to OUB for further collection efforts.
- Parking receivables are generated by the Parking Services Office and are transferred to OUB for further collection efforts after Parking's collections efforts have failed.
- Veterinary Medicine Hospital (Vet Med) receivables are those from the College of Veterinary Medicine for services rendered to the patients of the teaching facility. These receivables are sent to OUB when they become delinquent, Vet Med handles the collections efforts until considered delinquent.
- The Equine Medical Center (EMC) facility is a part of Vet Med and is located in Leesburg, VA. This facility is also a teaching facility and the receivables arise from the care of the many horses treated there. Equine is responsible for billing and collection of their receivables until the receivable becomes delinquent, when it is transferred to OUB.
- Electric Service (ES) is responsible for providing power for the campus and part of the town of Blacksburg. If ES is unable to collect from a customer, the receivable is turned over to OUB for further collection efforts.
All of these accounts are sent a final demand for payment and then sent to collections if the account is not paid.
